How to pay crew to their MarTrust Account

There are two ways to send payments to a crew member’s MarTrust Account. Use the method that best fits the size and frequency of your payments.

  • Bulk payment – Upload a file to process payments for many crew members at once. Ideal for routine or large payroll cycles.

  • Individual payment – Manually enter each payment in a batch. Best for one-off or low-volume payments.

Option 1: Bulk payment

  1. Go to Payments, then select Payment upload

  2. From the list of templates, download the E-Wallet Upload File

  3. Fill out the file with crew payment information

    • Add to each row the value to be credited to the crew member

    • Double-check that all fields are filled in correctly
      Note: A MarTrust Account must already be created and active for the crew member before they can receive a credit.

  4. Upload the completed file

    • In the Account section, select the account you want to debit

    • Choose the appropriate file format

    • Click Browse, find your file, then click Upload

    • A confirmation message will appear when the file is successfully queued for processing

  5. Check the upload status

    1. Select Status in the same Payment Upload window.

    2. Find your file and confirm Status shows Complete.

      • If the status is Failed, open the row, review the messages, fix the file, and upload again.

    3. Select the file’s Batch reference to open the payment batch.

  6. Review and submit for approval
    Review the Payment batch summary and individual lines.
    When everything is correct, select Submit, choose the approver(s), and select Notify.

Once you submit, the batch moves to Booked status and will not be executed until it is approved.

Option 2: Individual payment

  1. Go to Payment batch
    From the Payments menu, select Payment batch

    • Your default account appears automatically. Change it if needed using the Account dropdown

  2. Add the batch-level details

    • Account – Select the account to debit

    • Diarised date – Set a payment date, or leave it blank to send immediately

    • Your reference – Add a label to help you identify this batch internally

  3. Add a crew payment line

    • Direction code – Choose Buy or Sell

    • Buy currency – Enter the amount to be received by the crew member

    • Sell currency – Enter the currency from your account

      • If currencies differ, a real-time FX rate is shown

    • Beneficiary – Choose the correct crew member from your beneficiary list or click Create to add one

    • Delivery method – Select E-Wallet
      (Optional) Click Details to include:

    • Reference

    • Reason for payment

    • Payment code

    • Your reference (internal)

    • Remittance advice (if a valid email is stored)

    Select Add payment to save the line. Repeat for each crew member.

  4. Submit the batch

    Review the Payment batch summary

    Select Submit, choose the approvers, and click Notify

Once submitted, the batch is booked but payments will not be released until approved by an authorized user.
